How to use the Travel Budget Calculator

  1. Enter the travelers and trip length. Nights are set to days minus one, and you can change them.
  2. Fill in each category with an amount and choose how it is counted, for example food per person per day or the hotel per night.
  3. Add or remove categories for visas, insurance, car rental or anything else.
  4. Set a buffer of 5 to 15% for surprises and press Calculate.
  5. Read your budget in the result cards and the breakdown table, then print, copy or export it.

Travel budget formula

Each category is multiplied by how often it applies, then everything is added and a buffer is put on top:

  • Per person per day: amount × travelers × days (food, activities)
  • Per day (group): amount × days (car rental, local transport)
  • Per night (group): amount × nights (hotel, vacation rental)
  • Per person (trip): amount × travelers (flights, visas, insurance)
  • Total (group): amount once (parking, a group tour)

Total = sum of categories × (1 + buffer %). Daily budget per person = total ÷ travelers ÷ days.

Example: 2 travelers, 5 days, 4 nights. Flights $450 each = $900, a $120 room for 4 nights = $480, food $40 per person per day = $400, local transport $15 a day = $75, activities $30 per person per day = $300 and $100 of extras. That is $2,255, plus a 10% buffer of $225.50 for a total of $2,480.50, or $1,240.25 per person and $248.05 per person per day.

Typical daily costs per person

Backpacker, low-cost region$10–30$10–20$30–60
Mid-range, Europe or US$60–120$40–70$130–250
Comfort, major cities$120–250$70–120$250–450

These ranges are only rough guides. Peak season, school holidays and big events can double lodging prices, so look up current prices for your dates.

Tips to keep a trip on budget

  • Book flights and lodging first. They are usually the largest and most variable costs.
  • Count fees that are easy to forget: checked bags, seat selection, resort fees, city taxes, tips and card or ATM fees.
  • Travel in shoulder season, stay a little outside the center and buy a transit pass for long stays.
  • Track spending each day against your daily budget per person so you can adjust early.

Frequently asked questions

How do I calculate a travel budget?

List each cost and how it scales: flights per person, a hotel per night, food per person per day and so on. Multiply each amount by the right count (travelers, days or nights), add them up and add a buffer of about 10% for unexpected costs. The calculator does all of this for you.

What is a good daily budget per person?

It depends on the destination and travel style. Budget backpackers in Southeast Asia may spend $30 to $50 a day, mid-range travelers in Western Europe or the US often spend $150 to $250 a day, and luxury trips cost much more. Use the daily budget per person card to compare with guidebook figures.

Why are nights one less than days?

A 5-day trip usually means 4 nights of lodging. The calculator fills in days minus one automatically, but you can change it, for example if you fly overnight or arrive late.

How big should my travel buffer be?

Many travelers add 10 to 15% for things like price changes, tips, extra taxis, ATM fees and souvenirs. For long or remote trips, or when exchange rates are volatile, a larger buffer is safer.

Can I split the cost between travelers?

Yes. The per-person column divides each category by the number of travelers. Shared costs like the room or a rental car are counted once for the group and then split.

Is my budget saved?

Your categories and settings are stored only in this browser so they are there when you come back. Nothing is uploaded.
