When to send a follow-up email
The When to send box uses these common timing guidelines. Business days skip Saturdays and Sundays (public holidays are not taken into account).
| Scenario | Recommended timing | Second follow-up |
|---|---|---|
| Thank-you after an interview | Within 24 hours | Not needed |
| Interview decision | After their stated deadline, or about 5 business days | 1 week later |
| Job application status | 1 to 2 weeks after applying | 1 to 2 weeks later |
| Sales proposal or quote | 3 to 5 business days after sending | About 1 week later |
| No reply to an email | 3 to 5 business days | About 1 week later |
| Meeting recap | Same day or within 24 hours | Before the next deadline |
| Networking or event | Within 24 to 48 hours | 2 to 3 weeks later, with something useful to share |
Invoice reminder schedule
For unpaid invoices the generator picks the stage automatically from the due date: days overdue = today − due date.
| Days overdue | Stage | Tone of the email |
|---|---|---|
| Before the due date | Courtesy reminder | Light: the payment is coming up |
| 0 to 14 days | First reminder | Friendly: assumes it was missed |
| 15 to 30 days | Second reminder | Direct: asks for a payment date |
| More than 30 days | Final notice | Firm: 7-day deadline and next steps |
Anatomy of a good follow-up
- Context: remind them who you are and what you are following up on, in one sentence.
- Value or detail: a specific point from your conversation or a reason the request matters to them.
- One clear ask: a reply, a decision, a payment date or a short call.
- Easy exit: make it simple to answer, even with a short reply.
Frequently asked questions
How long should I wait before sending a follow-up email?
It depends on the situation: send an interview thank-you within 24 hours, follow up on an unanswered email or a proposal after about 3 to 5 business days, check on a job application after 1 to 2 weeks, and send a meeting recap the same day. The generator suggests a date from the date you enter.
How do I write a polite payment reminder email?
State the invoice number, amount and due date, attach the invoice, explain how to pay, and assume good faith in the first reminder (it may simply have been missed). Each later reminder can be more direct, and a final notice should give a clear deadline and the consequences set out in your agreement.
How many times should I follow up?
For most business emails, two or three follow-ups spaced several days to a week apart is reasonable. If there is still no answer, try a different channel or contact, or send a short closing email saying you will assume the timing is not right.
What should the subject line of a follow-up email say?
Make it specific and short, ideally under about 50 characters so it is not cut off on phones: mention what you are following up on, such as Following up on the Marketing Coordinator position or Invoice INV-1042 payment reminder. Replying in the original thread also works well.
Should a follow-up email be short?
Yes. Most effective follow-ups are 50 to 150 words: a reminder of context, one clear request or next step, and a polite close. The generator shows the word count as you edit.
Is it okay to follow up after an interview if they said they would contact me?
Yes, as long as you wait until their stated timeline has passed. A short, polite note reaffirming your interest and asking for an update is normal and professional.
Does this tool send emails?
No. It only writes the text in your browser. Open in email app hands the subject and body to your own email program through a mailto link, and nothing is sent until you press send there.
