The five-part thank-you note
- Greeting: "Dear Aunt Linda," or, for short notes, "Hi Linda,".
- Specific thanks: name the gift or what they did, not just "your gift".
- Why it matters: how you will use it, what it meant, or something you discussed.
- Looking ahead: "I hope to see you soon", "I look forward to hearing from you".
- Sign-off and name: matched to the relationship.
Timing and sign-offs by occasion

| Teacher | Any time, often at the end of the school year | Card or note | With heartfelt thanks |

A standard small greeting card holds roughly 50 to 80 handwritten words, which is why the tool flags notes whose message is longer than 80 words. If you need more space, use a folded note card or write on both inside panels.
Choosing a tone
- Warm: personal and heartfelt, best for family, close friends and people you know well.
- Formal: polite and measured, good for interviewers, clients, a teacher you have not met often, or older relatives who prefer traditional wording.
- Short: two quick sentences for a gift tag, a text message, a sticky note on a coworker's desk or a small card.
Whatever the tone, the most important line is the specific one: naming the exact gift or action shows you noticed it. Read the note aloud before you send it and change any phrase that does not sound like you.
Frequently asked questions
What should a thank-you note include?
A greeting, a specific thank-you that names the gift or kindness, a sentence about why it mattered or how you will use it, a warm forward-looking line, and a sign-off with your name. Mentioning the specific item or action is what makes a note feel personal rather than generic.
How soon should I send a thank-you note?
Send a job interview thank-you within 24 hours, ideally by email the same day. For gifts, aim for one to two weeks. Etiquette guides traditionally allow up to three months for wedding gifts. Sympathy acknowledgments have no strict deadline; send them when you feel able.
Should an interview thank-you be an email or a card?
Email is the norm because hiring decisions can be made quickly. A handwritten card can be a nice extra for smaller companies or senior roles, but send the email first. Keep it to a short paragraph that thanks the interviewer, mentions something you discussed and restates your interest.
How long should a thank-you note be?
Three to five sentences is plenty for most notes. A small greeting card comfortably fits about 50 to 80 handwritten words, so the tool shows each note's word count and flags notes that may be long for a small card. Choose the Short tone for a two-sentence note.
How do I thank someone for sympathy flowers or support?
Keep it simple and sincere: name what they did, such as the flowers, a meal or their presence at the service, and say that it brought comfort. You do not need to write at length; a few heartfelt lines are enough.
How do I thank a coworker or a client?
Name exactly what they did (covering a shift, finishing a project early, choosing your business), say what difference it made, and end with an offer to return the favor or a wish to work together again. Keep the tone friendly but professional, and use a sign-off such as Many thanks or Best regards.
