Tips to get paid faster
- Put clear terms on every invoice: due date, accepted payment methods and any late fee.
- Make paying easy with a payment link or full bank details in every reminder.
- Write to the right person: ask who handles accounts payable and copy them on reminders.
- Keep a record of every reminder and reply; you will need it if you escalate.
- Stay courteous, even in a final notice. Most late payments are oversights, and you may want to work with the client again.
Frequently asked questions
How do I write a polite payment reminder email?
Keep it short and assume good faith: mention the invoice number, amount, what it was for and the due date, ask whether the invoice arrived, and say how to pay. Attach the invoice and thank the client. Friendly and polite reminders work best in the first two weeks after the due date.
When should I send a payment reminder?
A common schedule is a courtesy reminder about 3 days before the due date, a friendly reminder the day after, a polite follow-up after 7 days, a firm reminder after 14 days and a final notice after about 30 days. If there is still no response, call the client before escalating.
How do I calculate a late fee on an overdue invoice?
For a monthly rate, a simple pro-rated method is: late fee = unpaid balance × monthly rate × days overdue ÷ 30. For example, $2,450 at 1.5% per month for 14 days late is $2,450 × 0.015 × 14 ÷ 30 = $17.15. Only charge a late fee that is stated in your contract or invoice terms and allowed by your state's law.
What should a final notice for payment include?
State the invoice number, amount, original due date and how many days it is overdue, list the earlier reminders, give a firm deadline (often 7 days), explain how to pay, and say what will happen if payment is not made, such as pausing work or referring the debt to collections. Stay professional and avoid threats you will not carry out.
Is it OK to charge interest on late invoices?
In many places you can charge late fees or interest if the client agreed to the terms in advance, for example in a contract or on the invoice. Maximum rates and rules differ by state and country, and consumer debts have extra protections, so check local rules before adding fees.
What if the client has already paid?
Every reminder includes a line asking the client to disregard it or to send payment details if they have already paid. Payments can cross in the mail or take a few days to clear, so check your account before sending firmer reminders.
