| Missed several days | Absence (multi-day) | First and last day, number of school days, request for missed work |
| Dentist or doctor visit mid-day | Early dismissal | Time of pickup, who picks up, whether the student returns |
| Morning appointment | Late arrival | Expected arrival time and reason |
| Religious holiday or family event | Absence (planned) | Dates, send the note before the absence if possible |
Tips for absence notes that get accepted
- Use the student's full legal name and grade or homeroom so the office matches it to the right record.
- Write the full date with the weekday, for example "Monday, October 26, 2026", to avoid mix-ups.
- Keep the reason short and general. Teachers do not need medical details, only the type of absence.
- Sign it. Printed notes need a parent or guardian signature; the short note includes a signature line.
- Include a phone number so the school can confirm the note if needed.
- Send it on time. Many schools turn an absence into "unexcused" if the note arrives after their deadline.
Excused and unexcused absences
Each school district sets its own rules, but illness, medical and dental appointments, a death in the family, and religious observances are commonly treated as excused absences. Family trips and events are handled differently from school to school, and some need approval in advance. If you are unsure, call the attendance office or check the student handbook before the absence.
Frequently asked questions
What should a school absence note include?
Include the date you write the note, the teacher or attendance office it is addressed to, the student's full name and grade, the date or dates of the absence, a brief reason, and the parent or guardian's name, signature and phone number. For early dismissals add the time and who will pick the student up; for late arrivals add the arrival time.
How much detail should I give about the reason?
A short, general reason is enough: "illness", "a dental appointment" or "a family emergency". Schools record whether an absence is excused, so they need the category, not private medical or family details. Keep the detail field to a few words.
When should I send an absence note?
Many schools ask for a note the day the student returns, or within a few school days. Planned absences such as appointments or family events usually need a note in advance. Check your school's attendance policy, because deadlines and what counts as an excused absence vary by district.
Do I need a doctor's note as well?
Some schools require a note from a doctor for longer illnesses (often three or more consecutive days) or for appointments during school hours. If you have one, tick "Mention an attached doctor's note" so the attendance office knows to look for it.
How are school days counted for a multi-day absence?
The tool counts weekdays (Monday to Friday) from the first to the last day you enter and skips weekends. It cannot know your school's holidays or teacher workdays, so subtract any of those that fall within the range.
Can I email the note instead of printing it?
Yes. The tool creates an email version with a subject line such as "Absence: Emma Johnson, Oct 26". Many schools accept attendance notes by email or through the parent portal, but some still require a signed paper note.
Is my child's information stored anywhere?
No. The note is created entirely in your browser and is not uploaded. Your last entries are remembered only in this browser so you can reuse them next time.
