Frequently asked questions
What is the format of a formal letter?
A formal letter has, in order: your address, the date, the recipient's name and address (the inside address), a subject or Re: line, the salutation, the body (purpose, facts, request, closing line), the complimentary close, space for your signature and your typed name. Enclosures and cc lines go at the end. In block format every line starts at the left margin.
When do I use Yours sincerely or Yours faithfully?
In British and international English, use "Yours faithfully" when you start with "Dear Sir or Madam" (you do not know the reader's name) and "Yours sincerely" when you address the reader by name. In American English, "Sincerely" or "Sincerely yours" is standard in both cases.
Should I use a colon or a comma after the salutation?
In US business and formal letters a colon is traditional ("Dear Ms. Bennett:"), while a comma is used in personal letters. In British English a comma (or no punctuation) is usual. The tool follows the convention of the style you choose.
What is the difference between a request and an inquiry letter?
A request letter asks the reader to do something, such as make a repair, send a document or grant permission. An inquiry letter asks for information, such as prices, availability or requirements. Inquiry letters work best with clearly numbered questions.
How do I write a formal notice letter?
State clearly what you are notifying (for example, that you are ending a lease or a contract), the effective date, any reference numbers and what you expect the reader to do next, and ask for written confirmation of receipt. Check your contract for the required notice period and delivery method.
How long should a formal letter be?
Keep it to one page if possible: usually 150 to 400 words in the body. Each paragraph should have one job: purpose, facts, request and closing.
Is my letter stored anywhere?
No. The letter is generated in your browser and nothing is uploaded. Your entries are remembered only in this browser so you can return to them.
