The structure of a strong complaint
- Identify the purchase: product or service, date and order or account number, so the company can find your record.
- Describe the problem: what happened and when, in one or two factual sentences.
- Show what you have done: earlier calls, emails and reference numbers.
- Ask for a specific remedy: a refund of a stated amount, a replacement, a repair or a credit.
- Set a deadline: a date for their reply, and, if needed, the next step you will take.
- Attach evidence: receipts, photos, screenshots. Send copies, never originals.
Choosing the tone
| Tone | When to use it | How it reads |
|---|---|---|
| Polite | First contact, minor problems, good relationship with the business | "I would like…", "I would be grateful for a reply by…" |
| Firm | Clear failure, or a first complaint that was ignored | "I request…", explains why the remedy is fair |
| Final notice | After at least one unresolved complaint | Names next steps: consumer agency, ombudsman, card dispute |
The reply deadline is today + the number of days you choose. The timeline table counts days from the purchase date, which helps you see whether you are still inside a store's return window or a warranty period. Return windows and statutory rights differ by country and retailer, so check the terms that apply to your purchase.
Frequently asked questions
How do I write an effective complaint letter?
Be clear, factual and specific. State what you bought or used, when, and any order number; describe the problem without exaggeration; mention earlier attempts to resolve it; say exactly what you want (refund, replacement, repair or credit); and give a reasonable deadline for a reply. Keep a calm, professional tone even when you are frustrated.
How long should I give a company to respond?
14 days is a common, reasonable deadline for a written complaint. You might give 7 days for an urgent problem, or up to 28 days for complex cases. The tool calculates the exact date from today so the company has a clear target.
When should I use the final notice tone?
Use it when you have already complained at least once and the company has not resolved the problem. It states that you will take the matter further, for example to a consumer protection agency, an ombudsman scheme or a chargeback with your card provider, if you do not get a satisfactory reply.
Should I send a complaint by email or letter?
Email is fastest and gives you a timestamped record. A posted letter, ideally sent with proof of delivery, can be better for serious or final complaints. Either way, keep copies of everything you send and receive.
What are my legal rights?
Consumer rights depend on your country and the type of purchase. In many places, goods must be of acceptable quality, fit for purpose and as described, and services must be carried out with reasonable care. This tool writes the letter; it does not give legal advice. Check your local consumer protection agency for the rules that apply to you.
Is my complaint stored anywhere?
No. The letter is generated in your browser and nothing is uploaded. Your entries are remembered only in this browser.
