Choose the format: full block (everything flush left), modified block (date and closing start at the center) or semi-block (modified block with indented paragraphs).
Enter your details and choose whether they appear as a centered letterhead, as a return address, or not at all if you print on letterhead paper.
Add the date and recipient: name with courtesy title, job title, company and address.
Write the letter: add an optional subject line, keep or change the automatic salutation, and type the body, or insert a sample and edit it.
Finish the signature block with the closing, signer name and any enclosure or cc notes, then download the PDF or Word file and sign it.

Tips for an effective business letter
State your purpose in the first paragraph. The reader should know within two sentences why you are writing.
Keep it to one page when you can: three or four short paragraphs are usually enough.
Be specific. Include dates, amounts, order or invoice numbers and what you want the reader to do next.
End with a clear next step, such as a deadline, a meeting request or how to reach you.
Proofread names and titles. A misspelled name is the most noticeable mistake in a business letter.
Sign in blue or black ink above your typed name, and keep a copy for your records.
Frequently asked questions
What is the correct format for a business letter?
A standard business letter has, from top to bottom: the letterhead or sender's address, the date, the inside address (recipient's name, title, company and address), an optional attention or subject line, the salutation, the body in single-spaced paragraphs separated by a blank line, the complimentary close, about three blank lines for the handwritten signature, the typed name and title, and any reference initials, enclosure or cc notations. Margins are usually 1 inch on all sides.
What is the difference between block and modified block format?
In full block format every line starts at the left margin, which is the most common style for business letters today. In modified block format the return address (if used), the date, the complimentary close and the signature block start at the center of the page, while the inside address, salutation and paragraphs stay at the left margin. Semi-block is modified block with the first line of each paragraph indented about half an inch.
Should the salutation end with a colon or a comma?
In American business letters the standard is mixed punctuation: a colon after the salutation (Dear Ms. Ellis:) and a comma after the complimentary close (Sincerely,). A comma after the salutation is common in British and less formal letters. Open punctuation uses no mark after either; choose it under Punctuation.
How much space should be left for the signature?
Leave about three to four blank lines (roughly 0.75 inch) between the complimentary close and your typed name, so there is room to sign by hand. This generator leaves three blank single-spaced lines, which fits a normal signature.
How do I address a business letter when I don't know the recipient's name?
Use the person's job title if you know it, for example Dear Hiring Manager or Dear Customer Service Manager, which the tool produces automatically when you enter only a title. If you know neither, To Whom It May Concern is still acceptable, but a quick search or phone call to find a name usually makes the letter more effective.
What goes on the second page of a business letter?
Page 2 and later pages are printed on plain paper without the letterhead and start with a continuation header: the recipient's name, the page number and the date. The generator adds this header automatically, and also keeps the closing and signature together so they never sit alone at the top of a page.
Can I edit the letter in Word or Google Docs?
Yes. Download Word (.docx) gives you an editable document with the same font, margins and alignment, plus a continuation header for page 2. It opens in Microsoft Word, Google Docs, LibreOffice Writer and Apple Pages. The PDF is best when you want to email or print the final version exactly as previewed.
