How to address an envelope correctly
- Recipient in the center, slightly toward the right: name on the first line, then company (if any), street address with apartment or suite, and city, state or region and postal code on the last line. For international mail put the country alone on the final line in capital letters.
- Return address in the top left corner so undeliverable mail can come back to you.
- Stamp or postage in the top right corner. Keep that area and the bottom 15 mm (⅝ in) free of text: automated sorting machines print a barcode there.
- Readability: postal services recommend a plain sans-serif font of at least 10 point, dark ink on a light background, left-aligned lines and no italics or script fonts. Writing the recipient in UPPERCASE without punctuation, as USPS Publication 28 suggests, can speed up machine reading.
Printing tips
Feed envelopes through the manual, rear or multipurpose tray, with the side guides snug against the envelope. In the print dialog select the same envelope size as in this tool and print at 100%. Many desktop printers feed envelopes short edge first; if the address comes out sideways, switch the PDF orientation to Portrait (rotated). Always print the first page on plain paper, hold it against an envelope in front of a window to check the position, and fine-tune with the position sliders before using your envelopes.
Frequently asked questions
How do I print an address on an envelope?
Choose the envelope size, type the return and recipient addresses, download the PDF and print it at 100% (Actual size) with the paper size in the print dialog set to the same envelope size. Most printers take envelopes in the manual or rear feed tray; the printer manual shows which side faces up and which edge goes in first.
What size is a #10 envelope?
A #10 envelope is 4 1/8 × 9 1/2 inches (104.8 × 241.3 mm) and holds a letter folded in thirds. It is the standard US business envelope. The international equivalent is DL, 110 × 220 mm.
Can I print envelopes from a spreadsheet or CSV?
Yes. Export your sheet as CSV (comma, semicolon or tab separated) and click Import CSV. Columns named like Name, Company, Address, Address 2, City, State, ZIP and Country are detected automatically and combined into a proper address block. Each row becomes one envelope page in the PDF.
Where should the recipient address go on an envelope?
In the middle of the envelope, slightly right and below center, leaving space for the stamp in the top right corner and for the postal barcode area along the bottom. The tool places it there automatically; postal services such as USPS recommend a plain sans-serif font, at least 10 point, and dark ink on a light envelope.
Why is my printout in the wrong place on the envelope?
Usually the print dialog is set to a different paper size or the page is being scaled. Select the envelope size in the printer settings, turn off Fit to page and, if the printer feeds envelopes short edge first, switch the PDF orientation to Portrait (rotated). Small offsets can be fixed with the nudge controls.
Does it support accents and non-Latin addresses?
Yes. Western European characters are printed as vector text. Lines containing characters outside that set, such as Cyrillic, Greek or Asian scripts, are automatically rendered as a high-resolution image so they still print correctly.
Are my addresses stored or uploaded?
No. The addresses never leave your browser and the PDF is created on your device. Your settings and return address are remembered on this computer for next time; the recipient list is not saved.
