To set up a custom layout, read the numbers printed on the label package or measure a sheet: left margin is the distance from the left paper edge to the first badge, top margin from the top edge to the first row, and gap across / down is the space between neighboring badges. Check the result with the formula left + columns × width + (columns − 1) × gap ≤ paper width.
Tips for readable name badges
Make the name the hero. People read badges from a distance and at an angle, so the name should be several times larger than everything else. The Large first name option helps at networking events where people use first names.
Keep secondary lines short. One line each for title and company works best; abbreviate long job titles.
Use color for categories. The Role ribbon template prints the fourth column (Speaker, Staff, Sponsor, Volunteer…) in a colored band so roles are visible across the room. Print one PDF per color if each role should have its own color.
Print a test page first on plain paper, lay it on top of a label sheet and hold both against a window to check alignment. Use the printer offset fields to correct a constant shift.
Bring blanks. Turn on Fill the last sheet with blank badges so there are spares for walk-in guests to fill in by hand.
Frequently asked questions
How do I make name tags for a list of people?
Paste the list into the Names box with one person per line (Name, Title, Company), or import a CSV exported from your spreadsheet or registration system. Every line becomes one badge, the tool fills as many sheets as needed, and the PDF can be printed in one go.
Which badge sheets does it work with?
The presets match common US badge sheets with 3⅜ × 2⅓ in badges (8 per sheet, the Avery 5395 / 8395 format), 4 × 3 in inserts (6 per sheet, the 5392 / 5384 format), 3½ × 2¼ in inserts, plus A4 sheets with 90 × 55 mm or 86 × 54 mm badges. For any other product choose Custom and enter the size, rows, columns and margins printed on the package. Avery is a trademark of its owner; this tool is not affiliated with it.
What is the standard name badge size?
The most common sizes are 3 × 4 in (76 × 102 mm) for conference badge holders, 3⅜ × 2⅓ in for adhesive name tags, and 86 × 54 mm (credit card size, ISO ID-1) for plastic card holders. In Europe 90 × 55 mm is also widely used.
My badges are slightly off the labels. How do I fix it?
Make sure you print at 100% (Actual size) with Fit to page turned off and the correct paper size (Letter or A4). If everything is shifted by the same amount, enter that distance in the Printer offset fields; positive values move the print right and down.
How large should the name be on a name tag?
The name should be readable from about 2 to 3 meters, which means letters roughly 8 to 10 mm tall (about 28 to 36 pt). The tool uses the largest size that fits each name, so long names shrink automatically; switch on Large first name to make first names stand out.
Can I use names with accents or non-Latin letters?
Yes. Accented Western characters are printed as vector text, and names in other scripts (Cyrillic, Greek, Chinese, Arabic and more) are automatically drawn as a high-resolution image so they print correctly.
Is my attendee list private?
Yes. The list is processed only in your browser and the PDF is created on your device. Nothing is uploaded, and the list is not saved after you close the page.
Are all the tools on FreeToolCabin tested for quality and accuracy?
Yes! Every tool on our site undergoes automated Q/A testing in real browser environments to ensure high precision, correct output, and zero errors. If you happen to spot a bug or have a suggestion, please contact us at [email protected] and our team will review it right away.
