- Pick a vendor tab and press Print timeline, Copy as text or Download CSV to send each vendor their schedule.
Sample timeline for a 4:00 PM ceremony
This is the default plan the generator builds with a first look, five people in hair and makeup with two stylists, a 30-minute ceremony and a reception that ends at 10:30 PM.
| Time | Event |
|---|---|
| 11:15 AM | Hair & makeup begins (3 rounds of 45 min) |
| 1:00 PM | Photographer arrives for details and getting-ready shots |
| 1:30 PM | Couple gets dressed |
| 2:00 PM | First look, then couple portraits and wedding party photos |
| 3:15 PM | Travel to the ceremony venue; officiant arrives |
| 3:30 PM | Couple tucked away; guests arrive and are seated |
| 4:00 PM | Ceremony |
| 4:30 PM | Cocktail hour; family photos and short couple portraits |
| 5:30 PM | Guests seated, then grand entrance, first dance and welcome |
| 5:55 PM | Dinner, followed by toasts, parent dances and cake cutting |
| 7:45 PM | Open dancing (bouquet toss about 45 min in) |
| 10:15 PM | Last dance and send-off at 10:20 PM |
With a first look, all couple and wedding party photos are done before the ceremony, so after it you only need family photos and a few quick portraits before joining cocktail hour. Without a first look, the wedding party photos move after the ceremony and usually fill most of cocktail hour.

Tips for a calm wedding day
- Add buffers. Hair and makeup almost always runs late; finishing 15–30 minutes early costs nothing.
- Send vendors their copy a week ahead and name one point of contact (a planner or friend) for the day.
- Check sunset time for golden-hour photos and outdoor ceremonies with the sunrise and sunset calculator.
- Write a family photo shot list and ask everyone in it to stay after the ceremony.
- Eat. Schedule food for the getting-ready room and make sure vendor meals are served during dinner.
Frequently asked questions
How do I make a wedding day timeline?
Start with the ceremony time and work backwards: subtract the time the couple is hidden before the ceremony, travel, pre-ceremony photos, getting dressed and hair and makeup. Then work forwards: ceremony, family photos, cocktail hour, grand entrance, dinner, toasts, dances, cake and open dancing until the send-off. This generator does both directions for you.
How long does wedding hair and makeup take?
Plan about 45 minutes per person for hair and makeup together, and 60 to 90 minutes for the person getting married. Divide the number of people by the number of stylists working at once: 6 people with 2 stylists at 45 minutes each is 3 rounds, or 2 hours 15 minutes. Finish at least 30 minutes before getting dressed.
Should we do a first look?
A first look lets you take couple and wedding party photos before the ceremony, so you can join more of cocktail hour. Without one, those photos happen after the ceremony, usually filling most of cocktail hour. Tick or untick First look to compare both schedules.
How long should cocktail hour be?
About 60 minutes is standard. It covers family and couple photos and gives the venue time to flip a ceremony space into the reception. If photos after the ceremony take longer than cocktail hour, the generator warns you.
What is the usual order of wedding reception events?
A common order is: guests seated, grand entrance, first dance, welcome and blessing, dinner, toasts, parent dances, cake cutting, open dancing with the bouquet and garter toss, last dance and send-off. Many couples move the first dance or toasts; turn events on or off to suit your plan.
When should the photographer arrive?
Usually 30 to 60 minutes before the couple gets dressed, to capture details like rings, invitations and shoes, plus the end of hair and makeup. The summary shows the total photo coverage from arrival to the last photographed moment, which helps when choosing a photography package.
Can I give each vendor their own copy?
Yes. Pick a vendor tab such as DJ / band or Catering & bar to show only the items that involve them plus the key moments, then print it, copy it into an email or download it as a CSV for a spreadsheet.
