How to use the Time Card Calculator
Enter your hourly rate and pick the overtime rule and multiplier.
Fill in each day's clock-in and clock-out times. Leave both empty for a day off.
Enter unpaid break minutes for each day (lunch, rest breaks).
Press Calculate (results also update as you type).
Read total hours and gross pay, then copy the results or download the time card as CSV.
How the time card is calculated
Each day is worked out as hours = (clock out − clock in) − unpaid break. If clock out is earlier than clock in, the shift crossed midnight and 24 hours are added. The daily totals are added up for the week, then split into regular and overtime hours:
Weekly rule (US federal): regular = the first 40 hours; overtime = every hour over 40.
Daily + weekly: any hours over 8 in a day are overtime, and regular hours over 40 for the week also become overtime (no hour is counted twice).
Gross pay is regular hours × rate + overtime hours × rate × multiplier. For 44 hours at $20 with time and a half: 40 × $20 + 4 × $30 = $920.
Minutes to decimal hours
Payroll systems use decimal hours. Divide minutes by 60:

Tip: keep the original punch times. If your employer rounds, the rounded total over a few weeks should come out about even with the exact total.
Frequently asked questions
How do I calculate hours on a time card?
For each day, subtract the clock-in time from the clock-out time, then subtract unpaid breaks. For example, 9:00 AM to 5:30 PM is 8 h 30 min; minus a 30-minute lunch gives 8:00 hours. Add the days together for the weekly total.
How do I convert minutes to decimal hours for payroll?
Divide the minutes by 60. 15 minutes = 0.25 h, 30 minutes = 0.5 h, 45 minutes = 0.75 h, so 7 hours 45 minutes is 7.75 hours. The calculator shows both h:mm and decimal hours.
How does overtime work on a time card?
Under the US Fair Labor Standards Act, non-exempt employees get at least 1.5 times their regular rate for hours over 40 in a workweek. Some states, such as California, also require overtime after 8 hours in a single day; choose the daily rule for that.
What about shifts that go past midnight?
If the clock-out time is earlier than the clock-in time, the calculator assumes the shift ended the next day. A shift from 10:00 PM to 6:30 AM counts as 8.5 hours before breaks.
Are breaks paid?
Under federal rules, short rest breaks (usually 5–20 minutes) are paid work time, while bona fide meal breaks of 30 minutes or more where you are fully relieved of duty can be unpaid. Enter only unpaid break time, or switch breaks to paid.
What is time card rounding?
Some employers round punches to the nearest 5, 6 or 15 minutes. US rules allow it only if it is neutral and does not consistently favor the employer over time. Use Exact minute for the precise total.
