Abbreviations, acronyms and initialisms
Abbreviation: any shortened form, such as Dr., approx., Jan. or etc.
Acronym: initial letters pronounced as a word, such as NASA, NATO, SCUBA or FOMO.
Initialism: initial letters said one by one, such as FBI, CEO, FYI or DIY.
Contraction-style abbreviation: first and last letters of a word, such as Mr., Dr. and St.
Tips for using abbreviations clearly
Spell it out the first time. Write “return on investment (ROI)” and use ROI afterwards.
Know your reader. Business shorthand (EOD, OOO) suits colleagues; texting shorthand (NGL, SMH) suits friends.
Use a or an by sound. “An FAQ” (eff-ay-cue) but “a NASA mission” (nasa).
Plural without an apostrophe. Write KPIs and PDFs, not KPI’s or PDF’s.
Frequently asked questions
What is the difference between an abbreviation and an acronym?
An abbreviation is any shortened form of a word or phrase (Dr., approx., Jan.). An acronym is a type of abbreviation made from initial letters and pronounced as a word, like NASA or SCUBA. An initialism is made from initial letters but read letter by letter, like FBI or FYI. In everyday use, all three are often called abbreviations.
What is the difference between e.g. and i.e.?
e.g. (exempli gratia) means for example and introduces one or more examples from a larger set: fruits, e.g., apples and pears. i.e. (id est) means that is and introduces a restatement or the only option: the capital, i.e., Paris. In American English both are usually followed by a comma.
Why does one abbreviation have several meanings?
Many short letter combinations are reused in different fields. PM can mean post meridiem (afternoon), private message or project manager; AP can mean Advanced Placement, Associated Press or accounts payable. Use the category filter or the context of your text to choose the right meaning.
Should abbreviations have periods?
It depends on the style guide. American English usually puts periods after shortened words (Dr., Mr., etc.) and often leaves them out of initialisms and acronyms written in capitals (FBI, NASA, CEO). This finder ignores periods and spaces when searching, so ASAP, a.s.a.p. and A S A P all match.
Are texting abbreviations appropriate at work?
Common business ones such as FYI, ASAP, EOD and OOO are widely accepted in workplace email and chat. Casual texting abbreviations like LOL, NGL or SMH are better kept for friends and informal channels, and it is good practice to spell out any abbreviation the reader might not know the first time you use it.
What if my abbreviation is not found?
The finder covers hundreds of the most common abbreviations, not every specialist or company-specific one. Try searching without periods or with fewer letters, switch to Phrase → abbreviation to search by meaning, or check a field-specific glossary for technical terms.
