Frequently asked questions
What is the standard press release format?
A press release starts with a release line (FOR IMMEDIATE RELEASE or an embargo time), followed by the headline, an optional subheadline, and a dateline that opens the first paragraph. The body covers the news, why it matters, details and quotes. It ends with the About section (boilerplate), a media contact and ### to mark the end.
What is an AP-style dateline?
In Associated Press style the dateline gives the city in capital letters, followed by the state abbreviation unless the city is one of about 30 well-known cities that stand alone, such as NEW YORK, CHICAGO or SEATTLE. Press releases add the date, for example BOULDER, Colo., Oct. 23, 2026 —. AP abbreviates Jan., Feb., Aug., Sept., Oct., Nov. and Dec. when used with a date, and spells out March through July.
How long should a press release be?
Most press releases are 300 to 500 words, or about one page. The first paragraph should answer who, what, when, where and why in one or two sentences, because many editors decide whether to read on from the lead alone.
What does ### mean at the end of a press release?
Three hash marks (###) are a traditional end mark that tells editors there is no more text. Some writers use -30- instead. Anything after the mark, such as notes to editors, is not meant for publication.
What is a press release boilerplate?
The boilerplate is a short standard paragraph headed "About [Company]" that describes the organization: what it does, when it was founded, where it is based and its website. It stays the same across releases, so it is worth writing carefully once.
How should quotes be attributed in AP style?
AP style puts the quote first and the attribution after it, using said: “We are excited to launch this,” said Priya Nair, chief executive officer of GreenCrate. Formal titles are lowercase when they follow the name. Always have the speaker approve the exact words before release.
Is my announcement stored or sent anywhere?
No. The release is assembled in your browser. Nothing is uploaded, and your last inputs are kept only in this browser so you can come back and edit them.
