Utilization formulas
Utilization rate = billable hours ÷ total working hours × 100
Billable revenue = billable hours × hourly rate
Billable hours for a target = target utilization × total hours
Effective hourly rate = billable revenue ÷ total hours worked
Example: 26 billable hours in a 40-hour week is 65% utilization. At $120 per hour that bills $3,120. A 75% target needs 30 billable hours, so 4 more hours, worth $480.

Very high utilization leaves little time for sales, admin, training and rest, which are needed to keep the pipeline full. Many firms set targets per role: delivery staff higher, managers and partners lower. Decide whether "total hours" means contracted hours or all hours actually worked, and use the same definition every period so the trend is comparable.
Frequently asked questions
How do you calculate billable utilization?
Divide billable hours by total working hours and multiply by 100. 30 billable hours out of 40 is 75% utilization.
What is a good utilization rate?
It depends on the role and firm. Many professional services teams aim for roughly 70% to 85% for delivery staff, and lower for managers who spend time on sales and leadership. 100% is rarely sustainable.
What counts as billable hours?
Time spent on work you can charge to a client, such as project work, client meetings and billable travel. Admin, internal meetings, business development and training are usually non-billable.
How many billable hours do I need to reach my target?
Multiply total hours by the target percentage. For a 75% target in a 40-hour week, that is 30 billable hours; subtract what you already have to get the gap.
What is the effective hourly rate?
Billable revenue divided by all hours worked, including non-billable time. At $120 per hour and 65% utilization it is $78 per hour, which is a better measure of what your time really earns.
Should total hours be contracted hours or hours worked?
Either works if you are consistent. Contracted hours (e.g. 40 per week) give a stable baseline; hours actually worked show utilization when overtime is common.
