What to put on a quote or estimate

A clear quote helps the client say yes and protects you if the scope changes later. A professional quote or estimate template usually includes:

  • Your details: business name, logo, address, email and phone number.
  • The client's details: name, company and address.
  • A unique quote number and the issue date, so you can match it to the invoice later.
  • A validity period, for example 30 days, after which prices may change.
  • Itemised line items with quantity, unit, unit price and amount.
  • Discount, tax and the total, clearly separated.
  • Terms: deposit, payment terms, what is not included and how to accept.

How the total is calculated

Each line amount is quantity × unit price. The subtotal is the sum of all lines. A discount is taken off the subtotal, either as a percentage or a fixed amount, and tax is then charged on the discounted amount: total = (subtotal − discount) × (1 + tax rate ÷ 100).

Quote vs estimate: what is the difference?

An estimate is an educated guess of what a job will probably cost, and the final bill may be higher or lower if the work turns out different. A quote (or quotation) is a fixed price for a defined scope of work, and once the client accepts it you are normally expected to stick to it. A proposal usually adds a description of the approach, timeline and deliverables. Choose the document title that matches what you are offering, and spell out in the terms what happens if the scope changes.

Turning an accepted quote into an invoice

When the client signs or confirms the quote, keep the quote number and refer to it on your invoice. Bill the deposit first if your terms ask for one, then the balance on completion. Listing the same line items on the invoice as on the quote avoids questions and speeds up payment.

Frequently asked questions

Is this quote generator free?

Yes. It is completely free, with no sign-up and no watermark. The quote is built and turned into a PDF in your browser, so your details are not uploaded anywhere.

What is the difference between a quote and an estimate?

An estimate is an approximate price that may change as the work goes on. A quote is a fixed price for a defined scope of work that you are expected to honour once the client accepts it. You can pick either title for the document.

How long should a quote be valid?

30 days is common. Use a shorter period, such as 7 or 14 days, if material prices change quickly. The tool shows the valid-until date automatically from the issue date and the number of days.

Is tax calculated before or after the discount?

After. The discount is taken off the subtotal first, and tax is charged on the discounted amount, which is how sales tax and VAT normally work.

Is my quote saved?

The current draft, including your logo, is saved in your browser's local storage on this device, so it is still there when you come back. Nothing is sent to a server. Use Clear form to start a new quote while keeping your business details.

Can I add my logo?

Yes. Choose a PNG, JPG, WEBP or SVG image. It is resized in your browser and appears in the preview, the printout and the PDF.
