Which stamp to use

StampTypical useUsual color
APPROVEDA quote, drawing, timesheet or request has been checked and acceptedGreen
PAIDAn invoice or bill has been settled; add the payment dateBlue or red
DRAFTWork in progress that should not be treated as finalGray
CONFIDENTIALDocuments for a limited audience, such as HR or contract papersRed

REJECTED / VOIDA request that was declined, or an invoice or check that is cancelledRed
COPY / FINALTells a duplicate apart from the original, or marks the signed-off versionGray / green

Tips for a clean stamp

  • Place it in empty space. The top-right corner is the classic spot on letters and invoices, because it rarely covers text. Use the arrow keys for fine adjustment.
  • A slight tilt of about −10° to −15° gives the familiar hand-stamped look. Use 0° for a formal, straight mark.
  • Lower the opacity to 60–80% when the stamp has to sit on top of text, so the text underneath stays readable.
  • Size: 30–40 pt suits a corner stamp on an A4 or Letter page; 70 pt and up works for a large diagonal stamp across the middle.
  • Date formats: 2026-10-20 (ISO 8601) is unambiguous internationally, while 20/10/2026 and 10/20/2026 are easily confused between countries. A spelled-out month avoids that problem.

How the stamp is added

The stamp is drawn into each selected page as vector text and lines using the standard PDF fonts Helvetica, Times or Courier, with the transparency you set. The existing page content is not re-rendered or compressed, so text stays selectable and images keep their quality, and the file size grows by only a few kilobytes. Pages that are stored rotated (for example scanned landscape pages) are detected, so the stamp appears upright where you placed it in the preview. Because the standard fonts cover Latin characters only, letters from other scripts are left out of the stamp text.

Frequently asked questions

How do I add a stamp to a PDF?

Open the PDF above, choose a stamp such as APPROVED or type your own text, drag it to the right place on the preview and press Stamp PDF & download. A stamped copy is saved to your device and the original stays unchanged.

Can I put the stamp on every page?

Yes. Choose All pages to stamp every page in the same position, or pick First page, Last page, This page only, or type a range like 1-3, 8. The position is relative to each page, so pages of different sizes get the stamp in the matching spot.

Can I add today's date to the stamp?

Yes. Tick Add date and the date appears in smaller text under the stamp. It defaults to today, but you can pick any date and choose a format such as 2026-10-20, Oct 20, 2026, 20/10/2026 or 20 OCT 2026.

Is the stamp an image or real text?

It is real vector text and shapes drawn into the PDF page, so it stays sharp when zoomed or printed and the stamp text can be found with search. The pages underneath are not changed or re-compressed.

Can the stamp be removed later?

The stamp becomes part of the page content, like a printed stamp, so ordinary PDF readers cannot simply delete it. Keep your original file if you might need an unstamped copy.

Does a stamp make a document legally approved or paid?

No. A stamp is a visual marking that shows a status. Whether it has any legal or accounting meaning depends on your organization's rules; for legally binding approval use a proper signature process.

Is my PDF uploaded to a server?

No. The PDF is opened, previewed and stamped entirely inside your browser with JavaScript, so the file never leaves your device.
