How to use the Wedding Planning Checklist
- Enter your wedding date. Every task gets a due date counted back from that day.
- Keep Fit tasks on if the wedding is less than a year away, so early tasks are spread between today and two weeks before the date instead of showing as overdue.
- Tick tasks off as you go. The progress bar, overdue count and Next up list update instantly.
- Remove tasks that do not apply and add your own with a due date and category.
- Export: print the checklist, download a CSV for a spreadsheet or an .ics file to put open tasks in Google Calendar, Apple Calendar or Outlook.
The wedding planning timeline at a glance
The checklist follows a standard 12-month plan. The order matters more than the exact dates: vendors that can only serve one wedding per day, like venues and photographers, get booked first, and details that depend on the final headcount come last.
| Stage | Main focus | Why then |
|---|---|---|
| 12 months | Budget, guest count, venue | The venue sets the date and capacity everything else depends on. |
| 10–11 months | Officiant, photographer, caterer, music | Popular vendors book out for peak-season weekends. |
| 8–9 months | Attire order, florist, save-the-dates, hotel blocks | Made-to-order outfits can take months plus alterations. |
| 6–7 months | Honeymoon, hair and makeup, cake, rentals, invitations | Gives time to compare quotes and check passports. |
| 4–5 months | Menu tasting, rings, rehearsal dinner, final guest list | Addresses are needed before invitations are printed. |
| 2–3 months | Ceremony plan, music, vows, fittings, favors | Details that need the big pieces already confirmed. |
| 6–8 weeks | Mail invitations, license rules, timeline, printed items | Leaves 3–4 weeks for RSVPs before final numbers are due. |
| 1 month | Marriage license, final fitting, shot list, RSVP follow-up | Many licenses are only valid for a limited time. |
| 2 weeks | Final headcount, seating chart, vendor confirmations, payments | Caterers and venues usually ask for numbers 1–2 weeks out. |
| Wedding week | Attire pickup, emergency kit, rehearsal | Last checks while there is still time to fix things. |
Planning in less than a year
A short engagement works if you book in order of scarcity. With Fit tasks into the time I have left switched on, every task that would already be overdue is moved forward and spaced evenly between today and two weeks before the wedding, so the to-do list stays realistic instead of showing dozens of red overdue items. The final two weeks keep their normal timing because those tasks depend on the date itself.
- 6 months or less: book the venue, officiant, photographer and caterer in the first weeks, and consider off-the-rack attire.
- 3 months or less: send invitations instead of save-the-dates, and pick vendors who offer packages to cut down on decisions.
- Weekday or off-season dates usually have more availability at short notice.
Tips for using the checklist
- Remove tasks that do not fit your wedding, such as a rehearsal dinner or hotel blocks, so the progress bar reflects what you really need to do.
- Add vendor deposit and final payment dates as your own tasks under the Budget category.
- Export the open tasks to your calendar and share it with your partner so reminders reach both of you.
- Use the Wedding Guest List Manager for RSVPs and meal counts and the Wedding Budget Planner to track costs.
Frequently asked questions
How far in advance should you start planning a wedding?
Twelve months is a common planning window because popular venues and photographers are often booked many months ahead, especially for weekends in peak season. You can plan a wedding in much less time; the checklist then compresses the same tasks into the time you have.
What should you do first when planning a wedding?
Set the budget, agree on a rough guest count and style, then book the venue. The venue fixes the date and capacity, and most other vendors such as the caterer, photographer and officiant can only be booked once the date is confirmed.
When should save-the-dates and invitations be sent?
Save-the-dates usually go out 6 to 8 months before the wedding, or earlier for destination weddings. Invitations are commonly mailed 6 to 8 weeks before, with an RSVP deadline 3 to 4 weeks before the wedding so you can give the caterer final numbers.
When should we get the marriage license?
It depends on where you marry. Some places issue a license on the spot while others have a waiting period, and many licenses expire after a set number of days. The checklist reminds you to check the rules about 7 weeks out and to apply about a month before. Always confirm with the local issuing office.
What does Fit tasks into the time I have left do?
If your wedding is less than 12 months away, tasks normally due earlier than today are spread evenly between today and two weeks before the wedding, keeping their order. Tasks in the final two weeks keep their usual timing. Turn it off to see the standard 12-month dates.
How do I add the checklist to my calendar?
Press Download calendar (.ics). It creates an all-day event on the due date for every task that is not done yet. Open or import the file in Google Calendar, Apple Calendar or Outlook.
Is my checklist saved?
Yes. Your wedding date, ticked tasks, removed tasks and your own tasks are stored in this browser's local storage on this device. Nothing is uploaded. Download a CSV if you want a backup.
