The formulas
Earliest effective date = date you send the letter + notice period (days).
Prorated refund = amount prepaid × unused days ÷ total days in the prepaid period. The unused days are counted from the cancellation date to the end of the prepaid period, including both days.
Tips by type
Gym and club memberships: check whether the contract requires written notice, a minimum term or a specific cancellation form; send by certified mail.
Subscriptions: cancel before the renewal date and screenshot any online cancellation confirmation.
Insurance: start the new policy first, then cancel the old one from the same date and ask for any unearned premium back.
Phone and internet: ask how to return the modem or other equipment to avoid unreturned-equipment fees, and check for early termination fees.
Frequently asked questions
How do I write a cancellation letter?
Include your name and contact details, the company, your account, member or policy number, a clear statement that you are cancelling, the effective date, any refund you are owed, a request to stop future payments and a request for written confirmation. Keep it short and factual.
Do I need to give a reason for cancelling?
Usually not. Most contracts let you cancel without a reason, although some (for example certain gym contracts) only allow early cancellation for specific reasons such as moving away. Choose "Prefer not to say" if you do not want to give one.
How is the prorated refund calculated?
Prorated refund = amount prepaid × unused days ÷ total days in the prepaid period. For example, $1,260 prepaid for a 365-day policy cancelled with 228 days left gives $1,260 × 228 ÷ 365 = $787.07. Some companies deduct a cancellation fee or use their own method, so check your terms.
What is a notice period?
It is the time your contract requires between telling the company and the cancellation taking effect, often 30 days for gyms and phone plans. The tool adds it to the date you send the letter to show the earliest date the cancellation can take effect.
Is cancelling by letter or email better?
Use the method your contract specifies. Many gyms and some insurers require written notice by mail; sending it by certified mail gives you proof of delivery. Email is fine where allowed and gives a timestamped record. Always keep a copy.
Will stopping my card payment cancel the contract?
No. Stopping a payment does not end a contract by itself and may lead to late fees or collections. Cancel in writing first, then withdraw the payment authorization, which this letter does in the same step.
Should I cancel insurance before my new policy starts?
No. Make sure your new policy is active first, so you never have a gap in coverage, and set the cancellation date of the old policy to the start date of the new one.
