Fill in the heading, state the purpose, list the key details and the action you need. The generator lays it out in standard business memo format, checks it against seven memo essentials, and lets you print it, copy it or download a Word (.docx) file.

How to use the Memo Generator
Fill in the heading: who the memo is to, who it is from, the date and a specific subject line.
Choose the memo type: informational, request, policy change or meeting notice.
State the purpose in one or two sentences, then list the key details, one per line.
Add the action and deadline if readers need to do something, plus a contact for questions.
Press Generate memo, review the checklist, then print, copy or download the .docx file.
Parts of a business memo
A memo is built to be skimmed. Readers should learn the topic from the subject line and the main point from the first paragraph. The generator follows this standard structure:
Part
What goes in it
Example
Heading
The word MEMORANDUM, then To, From, CC (optional), Date and Subject
TO: All Sales Staff
Purpose
One or two sentences saying why you are writing
"The purpose of this memo is to…"
Details
The facts readers need: what, when, where, who is affected
Bullet points or a short paragraph
Action
What readers must do, and by when
"Please submit your reports by Friday, March 6."
Closing
A contact for questions, or a short thank-you
"If you have any questions, please contact…"
Attachments
A line listing enclosed documents
Attachment: Expense report form
Choosing the memo type
Informational: announcements and updates where nobody needs to reply, such as an office closure or a new hire.
Request / action: you need readers to do something. Put the deadline in the action sentence, not buried in the details.
Policy change: say what is changing, when it takes effect and where the full policy lives. The details are labeled "What is changing".
Meeting notice: date, time, place and agenda go in the details; anything attendees should prepare goes in the action.
Tips for clear memos
Lead with the point. If a reader stops after the first paragraph, they should still know what is happening.
One topic per memo. Two unrelated announcements get more attention as two memos.
Use bullets for anything readers will scan: dates, steps, locations and requirements.
Write dates in full ("Friday, March 6, 2026") so nobody misreads 3/6 as June 3.
Keep the tone consistent with your workplace: formal for policy and compliance topics, friendly for team news.
Frequently asked questions
What is the standard memo format?
A business memo starts with the word MEMORANDUM (or Memo), followed by a heading block with To, From, Date and Subject lines (and CC if needed), a horizontal line, and then the body. The body opens with the purpose, gives supporting details, states any action required, and closes with a contact for questions. Memos normally have no greeting or signature line; the sender may add initials.
How is a memo different from a business letter?
A memo is usually internal, sent to colleagues inside an organization, while a business letter goes to people outside it. Memos skip the inside address, salutation and complimentary close, use a To/From/Date/Subject heading instead, and get to the point in the first paragraph.
How long should a memo be?
Most memos fit on one page, roughly 200 to 400 words. If you need more space, keep the memo itself short and put long data, policies or schedules in an attachment. The generator shows the word count and a one-page warning.
How do I write a good memo subject line?
Make it specific enough that readers know what the memo is about without opening it: "New expense report deadline starting March 1" works better than "Expenses". Use three or more words, and include the key date or change if there is one.
Can I send a memo by email?
Yes. Many offices now send memos as emails or as an attached document. The tool gives you a short email version with an action-oriented subject line that you can paste into your email, and a .docx file you can attach.
Does the .docx file open in Google Docs and Pages?
Yes. The Word file is a standard .docx document that opens in Microsoft Word, Google Docs, LibreOffice and Apple Pages, so you can add a logo or edit the wording before sending.
Is my memo saved or uploaded anywhere?
No. The memo is created in your browser and never uploaded. Your last inputs are remembered only in this browser so you can come back and edit them.
