How to use the Balance Sheet Generator
Enter the business name and date line, for example “As of December 31, 2025”. A balance sheet is a snapshot of one day.
List your assets. Put cash, receivables, inventory and prepaid items under current assets, and equipment, vehicles and long-term investments under non-current assets. Enter accumulated depreciation as a negative number.
List your liabilities: bills and debts due within 12 months under current liabilities, and the rest of loans and leases under long-term liabilities.
Enter equity: owner's capital or common stock, plus retained earnings (or minus owner's draws).
Read the balance check. If it is out of balance, look for a missing account or a sign error before using the retained earnings adjustment button.
Download the PDF or CSV, print it, or copy it as text.
How the balance sheet is organized
This generator uses the classified, report-style format most small businesses and lenders expect: assets on top, then liabilities and equity, with current items listed before long-term ones. The totals come from the example data that loads with the page.

How much of the business is financed by creditors versus owners
What counts as a “good” ratio depends heavily on the industry: a grocery store with fast-moving inventory can run a lower current ratio than a manufacturer. Compare against your own prior years (turn on the prior-date column) and against businesses like yours.
Tips for an accurate balance sheet
Use balances from the same date. Take bank, loan and card balances from statements that end on the date in your heading.
Split loans in two. The principal due in the next 12 months is a current liability; the remainder is long-term.
Record equipment at cost. Show depreciation as a separate negative “accumulated depreciation” line instead of guessing current market value.
Keep personal items out. A business balance sheet should include only business accounts. For a household picture, a net worth statement is the better tool.
Tie it to your P&L. The change in retained earnings should equal net income minus distributions for the period.
Frequently asked questions
What is a balance sheet?
A balance sheet (statement of financial position) lists what a business owns (assets), what it owes (liabilities) and the owners' stake (equity) on one specific date. Together with the profit and loss statement and the cash flow statement, it is one of the three core financial statements.
What is the balance sheet equation?
Assets = Liabilities + Equity. Every asset is financed either by borrowing or by the owners, so the two sides must always be equal. In the example data, total assets of $246,550 equal liabilities of $130,550 plus equity of $116,000.
Why doesn't my balance sheet balance?
The most common causes are a missing account (often a loan, credit card or owner's draws), a sign error such as entering accumulated depreciation as a positive number, a figure typed twice, or retained earnings that were not updated with this period's profit or loss. The tool shows the exact difference so you can look for a line of that amount, or half of it if a sign was flipped.
What is the difference between current and non-current items?
Current assets are cash or items expected to turn into cash within 12 months, such as receivables and inventory. Current liabilities are due within 12 months, such as accounts payable, accrued wages and the part of a loan due this year. Everything else, like equipment, buildings and the rest of a long-term loan, is non-current.
How are the ratios calculated?
Working capital = current assets − current liabilities. Current ratio = current assets ÷ current liabilities. Quick ratio = (current assets − inventory − prepaid expenses − supplies) ÷ current liabilities; the tool leaves out lines whose names contain inventory, prepaid or supplies. Debt to equity = total liabilities ÷ total equity.
How do retained earnings connect to the profit and loss statement?
Ending retained earnings = beginning retained earnings + net income − dividends or owner's draws. In the example, retained earnings rise from $38,000 to $66,000, so net income minus distributions for the year was $28,000. Updating this line is the usual way the P&L and balance sheet tie together.
Is my financial data uploaded?
No. All calculations, the PDF and the CSV are created in your browser. Your lines are saved only in this browser's local storage so they are still there next time; use Start blank to clear them.
