How to use the Seating Chart Maker
- Choose Event tables or Classroom desks at the top.
- Add names: paste one per line, optionally with a group after a comma (Emma Lopez, Bride's family), or import a TXT/CSV file.
- Set up the room: create tables (number, seats, shape), add a head table and drag tables into place, or set rows and desks per row.
- Seat people: drag a name onto a table or seat, or tap a name then a table. Use Auto-assign to fill seats, keeping groups together.
- Fine-tune by dragging people between seats (they swap) or back to the Unseated box.
- Download the PDF with the floor plan, table lists and A–Z guest finder, or the CSV.
Table sizes and how many people they seat
| Table | Size | Comfortable | Maximum |
|---|---|---|---|
| Round | 48 in (122 cm) | 4–6 | 6 |
| Round | 60 in (152 cm) | 8 | 10 |
| Round | 72 in (183 cm) | 10 | 12 |
| Rectangle (banquet) | 6 ft (183 cm) | 6 | 8 (with ends) |
| Rectangle (banquet) | 8 ft (244 cm) | 8 | 10 (with ends) |
Allow roughly 24 inches (60 cm) of table edge per person for a seated dinner. These are common rental-industry guidelines; check with your venue, as chair size and place settings vary.
Wedding seating tips
- Use groups. Tag guests as "Bride's family", "College friends", "Work" and so on; auto-assign keeps each group at the same table and the colors show at a glance who belongs where.
- Start with the head table and family tables, then seat friend groups, then fill the remaining seats.
- Seat older guests away from the speakers and close to restrooms, and families with young children near an exit.
- Print the A–Z list for the entrance so guests can find their table quickly, and use the CSV to mail-merge escort or place cards.
Frequently asked questions
How many guests fit at a round table?
A 60-inch (152 cm) round table seats 8 comfortably and 10 snugly; a 72-inch (183 cm) round seats 10–12. A 6-foot (183 cm) rectangular banquet table seats 6–8, and an 8-foot (244 cm) table seats 8–10. Set the seats per table to match your venue's furniture.
How does auto-assign keep groups together?
Guests with the same group name (the text after the comma) are seated as a block. The largest groups are placed first, each at the table whose free seats fit the group most closely. If a group is bigger than any table, it is split across the emptiest tables. Guests without a group fill the remaining seats.
Can I seat a specific person in a specific chair?
Yes. Drag the name onto a seat circle (or a desk in classroom mode). If the seat is taken, the two people swap places. Seats are numbered clockwise from the top on round tables, and left to right on rectangular tables.
What does the PDF include?
Up to three parts, selectable with the checkboxes: a floor plan showing every table with seat numbers and names, a 'guests by table' page with each table's list, and an alphabetical 'find your seat' list sorted by last name, which works well at a reception entrance.
How should I plan a classroom seating chart?
Many teachers seat students who need extra support or have vision or hearing needs near the front, separate friends who distract each other, and mix strong and developing students in pairs. Use Teacher's view to print the plan from your desk's perspective, and Random auto-assign for a fresh start each term.
Is my guest list private?
Yes. The tool runs entirely in your browser. Names are saved only in this browser's local storage so your plan is still there next time; nothing is uploaded to a server. Use Start over to clear it.
Are all the tools on FreeToolCabin tested for quality and accuracy?
Yes! Every tool on our site undergoes automated Q/A testing in real browser environments to ensure high precision, correct output, and zero errors. If you happen to spot a bug or have a suggestion, please contact us at [email protected] and our team will review it right away.
