How the order total is worked out
For each product, line total = quantity × price. Then subtotal = sum of line totals, tax = subtotal × tax rate, and total = subtotal + tax + delivery fee. The delivery fee only applies when the ticked fulfilment choice mentions delivery, shipping or mail. Example: 2 dozen cookies at $12.00 plus 1 apple pie at $18.50 gives a subtotal of $42.50; with local delivery at $5.00 and no tax, the total is $47.50.
Tips for an order form people fill in correctly
Set a clear deadline. An “Orders due by” date stops late orders and helps you plan quantities.
Price each variation separately when sizes or flavors cost different amounts, so customers do not have to guess.
Say how to pay. List the accepted payment methods and who checks should be made payable to in the notes.
Collect a phone number even if you have an email address; it is the fastest way to sort out a pickup problem.
Number your forms once they come back, and use the office-use box to mark them paid, filled and collected.
Frequently asked questions
Is this order form maker free?
Yes. It is free with no sign-up and no watermark. The form and the PDF are created in your browser, so your product list, prices and customer details are not uploaded anywhere.
What is the difference between the blank form and a filled order?
A blank printable form leaves the quantity, line total and grand total boxes empty so customers can write them in by hand, which is ideal for bake sales, school fundraisers and craft fairs. A filled order uses the quantities you type to calculate each line, the subtotal, tax, delivery fee and total, so you can send a finished order or confirmation.
What should an order form include?
At minimum: your business name and contact details, a list of products with prices, a place for the quantity and line total, the customer's name and phone number, how they will receive the order (pickup or delivery), how they will pay, and the total. A due date for orders and a signature line help with pre-orders.
How are the totals calculated?
Each line total is quantity × price. The subtotal is the sum of the line totals, tax is subtotal × tax rate, and the delivery fee is added only when a delivery or shipping option is ticked. Total = subtotal + tax + delivery fee.
Can I add sizes or flavors for each product?
Yes. Use the Options / details field for each product, for example Sizes: S M L XL or Chocolate / Vanilla. On a blank form customers can circle their choice. If sizes have different prices, add each size as its own product line.
Is an order form the same as an invoice?
No. An order form records what a customer wants to buy, usually before the goods are made or delivered. An invoice is the bill you send afterwards to request payment. Many small sellers collect order forms first and then issue an invoice or receipt.
Is my order form saved?
The current form and logo are stored in your browser's local storage on this device, so they are still there next time. Clear quantities and customer keeps your products and settings and empties only the order-specific fields.
