Create an inventory count sheet that fits how you count. Pick the columns (item, SKU, location, expected and counted quantity, variance, cost), paste your item list to pre-fill rows or leave them blank, and download a print-ready PDF or a CSV with variance formulas.

How to use the Printable Inventory Sheet
Enter a title and heading details: business, area or warehouse, and optionally the count date and counter. Leave a field blank to get a write-in line.
Tick the columns you need. A basic count needs item, SKU, location and counted qty; add expected qty and variance for a reconciliation.
Paste your items (optional) in the order Item, SKU, Location, Unit, Expected qty, Unit cost. Copying rows from Excel or Google Sheets works directly.
Choose the layout: rows per page, paper size and orientation. Landscape suits sheets with many columns.
Check the preview and use the page arrows for multi-page lists.
Download the PDF to print, or the CSV to record counts in a spreadsheet.

Variance = Counted qty − Expected qty, and Total value = Counted qty × Unit cost. Many teams also track a variance percentage, (Counted − Expected) ÷ Expected × 100, and recount any line beyond a set tolerance, for example ±2% or a few units on high-value items, before adjusting records.

Tips for an accurate physical count
Freeze movement. Pause receiving and shipping, or note the cutoff time, so items are not counted twice or missed.
Count by location, not by item. Walking aisles in order (use “Sort by location”) is faster and makes missed shelves obvious.
Use two people. One counts, one writes; or have a second person verify a sample of lines and sign the sheet.
Write in pen and initial changes. Cross out mistakes with a single line instead of erasing, so the sheet stays an audit record.
Number every sheet. “Page x of y” on each page lets you confirm that all sheets came back before entering counts.
Frequently asked questions
What should an inventory count sheet include?
At minimum: an item description, an identifier such as a SKU, where the item is stored, and a column for the counted quantity. For reconciliation add the expected (system or book) quantity and a variance column, and add unit cost and total value if you need a valuation. Signature lines for the counter and verifier make the count auditable.
What is a blind count?
In a blind count the counter does not see the expected quantity, so they cannot be influenced by it and simply record what is on the shelf. Tick Blind count and the expected quantity and variance columns are removed from the printed sheet; the CSV still includes them so you can reconcile afterwards.
How is variance calculated?
Variance = counted quantity − expected quantity. A negative variance means fewer units than the records show (shrinkage, damage or unrecorded sales); a positive one means more (unrecorded receipts or mis-picks). The CSV download includes this formula, plus Total value = counted quantity × unit cost, so they calculate as soon as you type counts.
Can I pre-fill the sheet from my spreadsheet?
Yes. Copy the columns Item, SKU, Location, Unit, Expected qty and Unit cost from Excel or Google Sheets and paste them into the pre-fill box (tab separated), or type them separated by commas. Leave any field empty. A header row is detected and skipped.
How many rows fit on one page?
On portrait US Letter with signature lines, 25 rows gives roughly 8.5 mm (one third of an inch) per row, which is comfortable for handwriting. 30 to 40 rows work if you mainly write numbers. The status line under the buttons shows the exact row height for your settings.
How often should I do a physical inventory count?
Many businesses do a full physical count at least once a year, typically at fiscal year-end, and use cycle counts (a few locations or high-value items each week) in between. Sorting the sheet by location lets each counter walk one route without backtracking.
Is my item list uploaded anywhere?
No. The preview, PDF and CSV are generated in your browser and your settings are saved only in this browser's local storage.
