Tips for better onboarding
Start before day 1. A laptop that works and accounts that exist on the first morning set the tone for everything else.
Give every task one owner. "HR" or "Manager" is clearer than "team"; shared tasks are the ones that get missed.
Assign a buddy. A peer who answers everyday questions takes pressure off the manager and helps the new hire feel welcome.
Schedule the check-ins now. Put the 30, 60 and 90-day conversations in the calendar on day 1 so they actually happen.
Don't overload day 1. Spread policies and training across the first week; focus the first day on people, setup and expectations.
Ask for feedback. New hires spot gaps in your process quickly; use their input to improve the template for the next person.
US employers: Form I-9 Section 2 must be completed within 3 business days of the first day of work, and new hires must be reported to the state new hire registry, usually within 20 days. Check your state's rules for other required notices.
Frequently asked questions
What should an employee onboarding checklist include?
Paperwork and accounts before the first day, a welcome and setup on day 1, introductions and training in week 1, and clear goals with check-ins at 30, 60 and 90 days. Each task should have an owner so nothing falls between HR, IT and the manager.
What is a 30-60-90 day onboarding plan?
It splits the first three months into stages: the first 30 days focus on learning the role, people and tools; days 31-60 on contributing and taking on regular work; and days 61-90 on working independently and setting goals for the next quarter. Each stage ends with a check-in or review.
How are the due dates calculated?
Before day 1 tasks are due the day before the start date, day 1 tasks on the start date, week 1 tasks by the first Friday, and the later phases 30, 60 and 90 calendar days after the start date. Untick 'Due dates from start date' to show general wording instead.
When does Form I-9 have to be completed?
In the US, the employee completes Section 1 of Form I-9 by the first day of work, and the employer must examine the documents and complete Section 2 within 3 business days of the first day of work. The templates include this as a day 1 HR task.
How is onboarding different for remote employees?
Equipment must be shipped and accounts ready before day 1, introductions happen over video, and it helps to agree on working hours and communication norms early. The remote template adds these tasks plus virtual coffee chats with the team.
Can I use the checklist for more than one new hire?
Yes. Your task lists are saved in this browser, so you only change the name and start date for the next hire. You can also export a CSV to import into a spreadsheet or task tool.
Is any employee information uploaded?
No. The checklist is built and converted to PDF entirely in your browser, and the details stay on your device.
Are all the tools on FreeToolCabin tested for quality and accuracy?
Yes! Every tool on our site undergoes automated Q/A testing in real browser environments to ensure high precision, correct output, and zero errors. If you happen to spot a bug or have a suggestion, please contact us at [email protected] and our team will review it right away.
