Rent periods in a monthly batch
Each period starts on the rent due day and ends the day before the next due date. With rent due on the 1st, the periods are the 1st to the last day of each month (January 1-31, February 1-28 or 29, and so on). With rent due on the 15th, a period runs from the 15th to the 14th of the next month. Due days are limited to 1-28 so every month has that date.
Good record-keeping tips for landlords
Give a receipt for every cash payment, and keep a copy. Cash leaves no bank record, so the receipt is the only proof for both of you.
Use consecutive receipt numbers so a missing receipt stands out. In batch mode the numbers increase automatically from the first receipt number.
Record partial payments honestly. Show the amount actually received and the balance still owed rather than marking the month as paid.
Sign every receipt after printing, and note the check number or transfer reference for non-cash payments.
Need a partial month? Work out the first or last month's rent with the prorated rent calculator, then enter that amount as the rent.
Frequently asked questions
What should a rent receipt include?
A useful rent receipt shows the date of payment, the amount paid, the tenant's name, the property address, the rental period the payment covers, the payment method (and check number if any), the name and signature of the landlord or agent, and any balance still owed. A receipt number makes it easy to match payments to your records.
Is a landlord required to give rent receipts?
It depends on where the property is. Several US states and cities require landlords to provide a receipt for cash rent payments, and some require receipts on request for any payment method. Even where it is not required, a receipt protects both landlord and tenant if there is ever a dispute about what was paid.
How is the balance due calculated?
Total due = monthly rent + any other charge + any previous unpaid balance. Balance due = total due − amount paid. If the tenant paid more than was due, the receipt shows a credit instead. In Monthly batch mode with 'Carry any unpaid balance' on, each month's unpaid balance is added to the next month's total due.
Can I make receipts for a whole year at once?
Yes. Choose Monthly batch, set the first month, 12 months and the rent due day. You get 12 numbered receipts with the correct rent periods (for example the 1st to the last day of each month), printed two or three per page with cut lines.
Why write the amount in words?
Writing the amount in words, like on a check, makes it harder for anyone to change the number afterward, for example turning $1,450 into $7,450. It is a common feature of receipt books and can be turned off.
Can tenants use rent receipts as proof of rent paid?
Yes. Tenants often keep rent receipts as proof of payment, for example for housing applications, rental history or income-related programs. Whether a receipt is accepted for a specific program or tax purpose depends on that program's rules.
Is my information stored anywhere?
No. The receipts are generated in your browser and nothing is uploaded. Your entries are remembered only in this browser so you can make next month's receipt quickly.
