How quantities and the balance are shown
For each line, balance to follow = quantity ordered − quantity delivered. When every line is delivered in full, the balance column is left out. In the sample, 4 boxes of nails were ordered and 3 delivered, so the balance is 1 box and the totals row shows 186 units ordered against 185 delivered. If you tick Show prices, value = quantity delivered × unit price, so the value reflects only what actually arrived.
Tips for smooth proof of delivery
Quote the order or PO number so the customer can match the delivery to their order and later to your invoice.
Write the number of packages and total weight; it makes a quick count at the door possible.
Ask for a printed name, signature, date and time. A signature alone is hard to trace later.
Record problems on the note itself: tick Damaged or Short and write details before signing.
Keep the signed office copy with the invoice; it is your evidence if a delivery is disputed.
Frequently asked questions
What is a delivery note?
A delivery note is a document that accompanies a shipment of goods and lists what is being delivered and in what quantity. The recipient checks the goods against it and signs it, and the signed copy becomes proof of delivery for the supplier. It usually does not show prices.
Is a delivery challan the same as a delivery note?
Yes, in everyday business use. Delivery challan is the term common in South Asia for the same document: it lists goods sent to a customer or site, often without the sale value, and is signed by the receiver. Choose the title you need from the Document title menu.
What is the difference between a delivery note and a packing slip?
Both list the contents of a shipment. A packing slip goes inside the parcel and tells the customer what was packed. A delivery note is handed over at the door, often by the supplier's own driver, and is signed by the recipient to confirm the goods arrived in good condition, so it carries signature, date and time boxes.
Should a delivery note show prices?
Usually not, because the people unloading the goods do not need to see the price and the invoice handles payment. Some businesses do show the value, for example for insurance, inter-branch transfers or goods sent on approval. Tick Show prices and value if you need it.
How many copies of a delivery note do I need?
Commonly two: one stays with the customer and the signed one returns to your office as proof of delivery. Many delivery firms use a third copy for the driver. The PDF can include one, two or three copies, each labeled at the top.
What should the recipient check before signing?
They should count the packages, check the items and quantities against the delivery note, and look for visible damage. Any shortage or damage should be written on the note before signing, using the condition tick boxes, so the supplier can follow it up.
Is my delivery note saved?
The current draft and logo are stored in your browser's local storage on this device. Nothing is uploaded. Start new delivery note clears the recipient, delivery details and items but keeps your company details and settings.
